KGP provides this website, services and news updates to companies and individuals operating in the automotive and powertrain-related industries. To access certain services on a regular basis, you may need to provide us with personal information. Our websites and services are mainly intended for business users rather than consumers.
This privacy policy explains how we use personal data and how you can contact us if you have any questions or concerns.

When you give it to us DIRECTLY
There are several ways in which you may provide us with your information. For example:

- When you register for our free weekly newsletter

When you give it to us INDIRECTLY
Your information may also be shared with us by independent organisations, including partners such as GlobalData PLC or Off-Highway Research, or by trade associations of which we are members, such as the CEA (Construction Equipment Association). These third parties will only share your information with us where you have given consent.

If you wish to do so, please contact the KGP Data Controller (see section 9 below) by email or post. All emails will be answered within two working days. Please note that if you object, this may affect our ability to carry out tasks for your benefit.

- Who else has access to your information?
Our service/host providers
As part of our legitimate business activities, we may need to share your personal data with, or provide access to it to, affiliated companies or other organisations that work on our behalf and provide services or host applications/software that you may access. For example:
- Banking organisations – those that provide our banking/payment services
Before sharing your data with, or giving access to your data to, any of our service or hosting providers, we will ensure that GDPR-compliant data processing agreements are in place.
Some of these companies may process your information in countries outside the European Economic Area (EEA), such as the United States. Data protection laws in these countries may not offer the same level of protection as in the EEA. - How we keep your information safe and who can access it
Your personal information will be hosted securely within the UK. We ensure that there are appropriate physical and technical controls in place to protect your personal details.
We undertake regular reviews of who has access to information that we hold to ensure that your personal information is only accessible by appropriate KGP employees and our service providers.
We will ensure that all KGP staff with access to your personal data are required to keep it strictly confidential. We carry out appropriate checks on the companies we work with before engaging them and put contracts in place setting out our expectations and requirements, particularly in relation to how they manage any personal data they may access when providing services to us.
We have a duty to report certain types of personal data breaches to the relevant supervisory authority, and where feasible, we will do this within 72 hours of becoming aware of the breach. If a breach is detected and likely to result in a high risk of adversely affecting you, we will inform you without undue delay.
We take commercially reasonable steps to protect your personal information. This includes setting up processes and procedures to minimise unauthorised access to or disclosure of your information. However, we do not guarantee that we will eliminate all risk of misuse of your personal information by intruders. Please keep any passwords for your accounts safe and do not disclose them to anyone else. You must contact us immediately if you become aware of any unauthorised use of your password or other security breach. You should avoid disclosing any information in these areas which may identify you or anyone else. We are not responsible for the protection or security of information which you disclose in these areas.
- How long we retain your information and how we keep it up to date
We will only retain your information for as long as we need it to support your enquiry, subscription, newsletter subscription or other KGP-related services. Certain statutory retention periods apply; for example, financial transaction records must be kept for seven years. We will delete your data when we are no longer providing products or services to you, or when you ask us to delete it, in line with guidance issued by the Information Commissioner.

- You have the right to access your personal data. This right allows you to be aware of, and verify the lawfulness of, the processing of your personal data. You may also request a copy of the information we hold about you. This information will be provided free of charge unless the request is considered manifestly unfounded or excessive, in which case a reasonable fee may be charged. Requests should be made in writing, by letter or email, and addressed to Alex Woodrow using the contact details shown at the end of this privacy policy. Please include two forms of identification. Where requests are manifestly unfounded or excessive, particularly where they are repetitive, Knibb Gormezano and Partners may:

- In certain circumstances, you have the right to have inaccurate personal data rectified, restricted, erased or destroyed.
- In certain circumstances, you have the right to object to the processing of your personal data, including for direct marketing, automated decision-making or profiling. We can confirm that we do not make decisions about you using automated processes.
- In certain circumstances, you have the right to obtain products or services from us without sharing your data with us, for example website downloads and website reports. Please note that a reasonable financial charge may be made for providing this service. Financial transaction records must be retained for seven years. All other data, except financial data, relating to the transaction will be deleted once the transaction has been completed.

- You have a right, in certain circumstances, to data portability.
